Why do we take it so seriously? The customer receives articles in the manner they've been packed The first appearance can give the customer confidence: packaging is your - and our business card for the customer. Packaging is just as much a part of joint success as the quality of the merchandise or quick delivery. Contrary to retail trade, however, packaging is admittedly not a „stimulus“ for sales promotion. However it is important that the article is packed in such a way that the customers will receive it undamaged.
Fast flow of goods due to standardized systems. We are the largest mail order business world wide with a correspondingly large product turnover. It is only as a result of smoothly run procedures that we can guarantee that the customer gets exactly what he/she ordered, and on time. Anything out of this routine disrupts the procedure and has to be carried out at specialized locations. Checking, unpacking, re-working, re-packing, etc. - all this costs time and money. If you do not adhere to the packaging instructions, we will have to pass these costs on to you. Alternatively, we will have to return the goods to you at your expense. It is therefore important to keep all the relevant parties informed. We can only guarantee smooth running internal procedures and efficient payment, if delivery notes are filled out correctly, especially our order number reference.
Do you have any questions about packaging and labelling? For further questions concerning packaging and labelling please contact our relevant office. The packaging instructions are a part of our working procedures (frame contract). All former editions are herewith invalid. If you need further brochures please contact our relevant office or see also our PDF-documents on the HOI document repository (HDR) platform (https://docs.hermes-ottoint.com). Firstly, you will be asked for login details at HOI helpdesk (
[email protected]) stating: - your full name - email address of user - suppliers name - all firms of the ottogroup you are working with 4
Environment Our ecological requirements for packaging Basically: • The "Grüner Punkt"-trademark must be affixed to article packaging. • Packaging must not be used if heavy metal concentrations (lead, cadmium, mercury and chromium VI) exceed the total sum of 100 mg/kg. • Packaging and silicagel bags must be free of Dimethyl fumarate. The limit value is 0.1 mg/kg. • Packaging and silicagel bags must be free of Cobalt dichloride. The limit value is "not detectable". • Do not use packaging which is too large, i.e. packaging should only be as large as absolutely necessary to protect the article. Packaging MUST meet the following ecological aspects: Plastic:
• No PVC parts
Wood/paper/cardboard:
• Do not use any packaging containing raw materials from HCVF-forests. High Conservation Value Forests are parti- cularly sensitive forests, which have excellent environ- mental properties.
• Do not use any packaging containing basic resources from illegal logging.
Wood:
• no impregnation materials
Paper/cardboard:
• no chlorine bleached materials
• print colours must not contain heavy metals
Packaging SHOULD meet the following ecological aspects: Plastic:
• no PUR foam
Wood/paper/cardboard: • packaging should be FSC certificated, if possible
• no chipboards or plywood
• no non-returnable pallets
Paper/cardboards:
• no combined materials (e.g. cardboard/plastic)
If you wish to use these kinds of materials you need to obtain written permission from the "Packaging and Environment" department. This is given upon release of packaging in our packaging test reports. In addition, observance of the following aspects is desirable: • Maximum proportion of packaging should consist of recycling material • Avoidance of polystyrene if substitution by cardboard is possible • Cellulose from maintained cultivated forests (FSC-certified) preferred • Cellulose from sulfite production (no sulfate celulose) • If film packaging is used, preferably use PE-LD materials

Article packaging (1-/2-Man handling) General specifications Suitable for individual dispatch
We forward the article (the packages) to your customers as we receive them from you. We do not provide additional packaging.
Individually
Each article (sales unit) is individually packaged.
Secure
Protect article from pressure and impact.
Drop test
The packaging must protect the article: The article must pass a drop test (see page 25) without being damaged.
Individual parts
Individual parts must be padded in between (see page 11).
stable
The packaging must be protected against indentation (if necessary, fill in hollow spaces, put in padding, etc...). Other articles must not get damaged (parts of articles in the packaging must not pierce through the packaging).
sealed / closed packaging
Partly open sales packagings must additionally be wrapped in 0.1 mm foil.
Closure (seal)
Tightly seal packaging (e.g. secure tuck-in lids, polybags, slipcases, etc. with a 50 mm wide adhesive tape (no PVC).
Strapping
The strapping must not damage the packaging; if necessary, place edge protection under the strap.
No over-packaging
Choose packaging no larger than necessary to protect the article.
Appealing
• Package the article neatly and in a visually appealing way. • Do not use any unsightly packaging materials (e.g. newspaper). • Protect mutli-coloured gift packaging against soiling (e.g. using shrink-wrap film).
Do not change
Do not change the packaging during the season without approval. This concerns also the content of each pack piece (see page 20).
Accessories
Enclose and package accessories in such a way that they do not damage the article. Coloured packagings help customers to find the article and prevent them from being accidentally thrown away during unpacking (for details, see page 12).
Enclosures (attachments)
Position enclosures (e.g. manuals, assembly instructions) in such a way that they can be seen and taken out first during unpacking.
7
Article packaging (1/2-man handling) Unpacking instructions
If unpacking instructions are needed to ensure that the article is unpacked carefully, the instructions must be either on the outside of the package, or placed inside in such a way that they can be seen as soon as the package is opened.
Returns
The packaging must be designed in such a way that transport protection can be ensured even if the customer returns the article (no shrink-film wrapping, no hot melt adesives, etc.).
Carrying devices
Large and heavy articles with 1-man handling must have carrying devices (see page 19).
Collective packagings only with permission
If the individual articles can only be shipped in a collective packaging (e.g. articles packed in foil) this requires our permission (please contact our relevant office). If this permission is given, attach: • article number and quantity (quantity = number of sales units) on a white neutral sticker on both front ends of the collective packaging, as well as our sticker 7339 (see page 23). • Use collective packagings that have the same size as a Eurotainer (pallet box/carton)! Unapproved collective packagings will be repackaged at the expense of the supplier.
Hazardous substances
• In the case of hazardous substances, the article packaging must have the required warning symbols on it. • In the case of dangerous goods , the legal provisions must be observed as well as the regulations governing childproof packagings.
Liquids
8
Ensure that liquids cannot leak out, by using press-in lids with tension rings or clips, sealing the discharge openings of screw caps or using seals.
Article packaging (1/2-man handling) Types of boxes Stable box
If possible, use a box with fully overlapping narrow sides from 2 wave corrugated board: Fefco 0409 Fefco 0301
Cut protection
If boxes with non-overlapping cover flaps are used (not recommended), the cover flaps have to have a piece of corrugated board of appropriate size underneath (to prevent cutting damages to the article when opening the packaging).
Fefco 0201:
cut protection has to be put in here (on top and bottom)
In exceptional cases the packaging can be marked with warning hint 5254 (see page 23).
Foil Outer packaging thickness
• 0.1 mm PE foil 0.13 mm for heavy upholstered furniture (>80 kg / see page 17) - Instead of the required LDPE foil with a thickness of 0.1 mm, HDPE foil with a thickness of 0.07 mm can be used. - Instead of the required LDPE foil with a thickness of 0.13 mm, HDPE foil with a thickness of 0.1 mm can be used.
Inner package - thickness
Foil of at least 0.04 mm thickness, made from PE (dust protection foil can be thinner).
Risk of suffocation
If the foil bag has warning messages about "risk of suffocation" on it, then these messages have to appear in all official languages of our distribution countries. The purchasing departments must agree on what these languages are. 9
Article packaging (1-/2-man handling) Standing edge padding Material
Padding preferentially made from multi-layered double-wall corrugated board (alternatively EPS).
Abb.13
Across surface
Apply inserted padding across entire surface (in line with box format).
Fixing
Attach padding, edge and corner protectiors or protective caps in such a wax that they cannot shift out of place or fall off.
Thickness
Select padding thickness and quality so that the article, if dropped, does not get damaged (drop test, see page 25).
Quality recommendation
The heavier the package, the "harder" the padding has to be (high-grade corrugated cardboard, high-density EPS).
10
Article packaging (1-/2-man handling) Packaging hollow spaces Fill out / fix parts
• Fill out using corrugated cardboard or EPS so that the individual parts cannot shift out of place and cannot get damaged.
Height adjustment
• Fill out the packaging hollow space, such as between glass and frame, on both sides.
Protection against chafing Sensitive surfaces
• Insert suitable intermediate layer if surfaces are sensitive (high-gloss, glass, ...). • If protection foil is used (e.g. for shiny surfaces) they must be marked accordingly (e.g. print: "Schutzfolie bitte entfernen").
Fabrics
Protect sensitive fabrics (upholstered furniture, chairs,.....), if packaged using corru- gated cardboard, using foil (at least 0.04 mm).
Lacquered furniture
Protect lacquered furniture, if packaged using corrugated cardboard, using foil (at least 0.04 mm), fleece or industrial cotton wool.
11
Article packaging (1-/2-man handling) Fitting material / accessories Box
• Package in boxes if possible (alternatively in a 0.1 mm thick polybag and if necessary additionally wrap in corrugated cardboard).
Labelling
Please note: If the fitting material of multi-part articles (individual parts packaged in several packages) is only included in one package, the outer pack- aging must be labelled to that effect. Beschlagmaterial innenliegend
Example of labelling of a package with fitting material
Abb. 02
• If wrapped in corrugated cardboard or paper, please label as such (to avoid accidential disposal with the packaging). • Tapes or parts of the fitting packaging must not stick out of the outer packaging.
Fixing
Place in hollow space of package (if possible opposite the standing edge - if there is one) and secure.
Securing
Protect against damage using board layers (secure board layers with corrugated cardboard cutting for example).

Marking of packages made of synthetic materials To facilitate material recycling, the different types of plastics are to be labelled on the packaging in accordance with DIN 6120 and clearly legibly. Examples:
The labels mean: LDPE = low-density polyethylene HDPE = high-density polyethylene PET
= polyethylene terephthalate
PP = polypropylene PS = polystyrene
24
Packaging test Packaging requirements
The packaging must comply with the specifications of the mail order business, i.e. there has to be sufficient transport protection and the article packaging has to be suitable for shipping.
Sufficient transport protection
Ensure that there is sufficient transport protection of your newly included article prior to the first delivery by performing a drop test (see below).
Drop test On six surfaces and two diagonally opposing corners (choose the corners with sensitive article parts).
1-Man-handling (HLG)
• Drop height 80 cm: with package weights up to 25 kg • Drop height 60 cm: with package weights between 25 kg and 31,5 kg
2-Man-handling (HES)
• Drop height 30 cm: Exception: if standing edge is labelled: Drop onto standing edge and one adjacent corner, e.g. 3 and 7 (choose the corner with sensitive article parts). • The impact surface must be horizontal and level as well as sufficiently solid and rigid, so that it neither moves nor deforms under the test conditions. • The article must remain undamaged after the series of falls.
Packaging sample If necessary, our buying department will request a packaging sample from you. - Packaging + article = one test unit - Label with comany (e.g. Otto), buying dept., suppliers code and our article no.
Packaging test report
• Once the sample has been assessed you will receive a packaging test report. • The packaging of the deliveries has to be the same as the approved sample packaging. • Do not change approved packagings without permission. Inadequate packagings will be reworked at the supplier's expense or returned.
VAL External forwarding company
VAL (dispatch from supplier): Here the particular specifications of the logistics service provider must be observed.

Shipping instructions Delivery note Transitory goods (delivery following customer order)
We can only guarantee the smooth running of internal procedures, as well as an efficient payment, if delivery notes / packing lists are filled in correctly according to the order.
Stock goods (consignment and own goods)
The following contents of the delivery note / packing list are particularly crucial and must match the order data: • LKZ (supplier code) • our season number • our article number • our order number the same articles from different orders must be labelled separately • possible size • quantity (by sizes, if size indication is stated in the order) In addition please ensure that delivery note / packing list and invoice carry the identical information in regard to the above contents. Please give the delivery note/packing list to the forwarder, who will attach it to the freight documents. The details of the order processing of transitory and consignment goods can be found.
Loading (only valid for stock goods) No mixed pallets
As a matter of principle, palletised deliveries have to be packaged homogenously.
Palletising of sales units with multiple packages
The following alternatives are available for the palletised deliveries of sales units with multiple packages: 1. Pallets contain all the same packages (alternative 1) 2. One complete sales unit per pallet (alternative 2) Label must be visible from the outside.

Shipping Instructions Loading (continued) Paired delivery per truck
For sales units with multiple packages, the same quantities per package of sales unit must be delivered. I.e. a truck only loaded with complete sales units.
Bulk loading
- One article of an order must not be distributed across several transports. - In principle, trucks / containers are to be loaded such that the packages of one ar- ticle or one order are next to each other. - When rugs are loaded loosely, a separator has to be placed between the different articles or between the different colours and sizes.
suitable loading and transport equipment
Loading and transport equipment are to be used such that the goods incl. packaging reach our warehouses undamaged (e.g. sufficiently large pallets for long parts).
160 cm
